Mail Merge within Gmail

The popular mail merge feature, once limited to desktop applications, is now available for the web version of Gmail, with a direct integration with Google Sheets.

With this integration, you can effortlessly link a Google Sheet with up to 1,500 recipients directly within Gmail. Gone are the days of manually entering individual email addresses or copy-pasting contact information. Simply import your recipient list into a Google Sheet, and watch the magic happen!

Whether it's the recipient's name, company, or any other relevant information, you can dynamically insert it into your email templates with ease. Guide

  1. To start using mail merge, first open Gmail

  2. Click on Compose to create a new email, or you can open an existing draft

  3. Locate the "To:" line in the email composition window and click on the icon with people and a plus

  4. Click on the Mail merge option to turn on the mail merge feature

  5. Click on Add from a spreadsheet from the same menu

  6. Select the desired spreadsheet and click Link

  7. Use the dropdown menus to choose the appropriate columns from the spreadsheet for each recipient's address format (e.g., Lisa Rodriguez lisa@example.com). You can select the following contact information from your spreadsheet:

    • Email

    • First name

    • Last name (optional)

  8. Click Finish to complete the process

  9. The spreadsheet will now be added to the "To:" line in your email

  10. Within the email body, type "@"

  11. A list of merge tags will appear based on the column headers in your spreadsheet

  12. To select a merge tag, click or press Enter

  13. When ready to send, click the Continue button

    1. If you then get prompted to “Help fight junk mail,” click Got it, and you can also opt to choose not to show that message again

  14. You can then choose to Send preview to send a preview email to yourself, or go ahead and choose to Send all
