Scheduling Auditorium Livestreams (Panopto)

This article explains the basics for scheduling a livestream for the auditorium or lecture hall, using the Seneca scribe remote recorder device for Panopto (housed in ETC 222).

Things to do prior to the event:

Turn on the Seneca Scribe Device

Ensure the Seneca Scribe device in ETC 222 is turned on. It is rack-mounted and is labeled “Auditorium.” The power button is directly below the “auditorium” label.

Log in to Panopto

From your own computer, log in to Panopto at ncssm.hosted.panopto.com (use the “NCSSM Login” option; this uses Canvas to log you in).

Preview Audio & Video Sources

On the Panopto website (ncssm.hosted.panopto.com):

  1. Click the System link.

  2. Choose Remote Recorders

Choose the Auditorium remote recorder.

In the preview window:

  1. Ensure you are viewing the lectern and camera from the correct location. If you need to change the video and audio sources to a different room, see this guide to selecting Seneca Scribe sources.

  2. Optional: Use the Start Monitoring button to start live audio monitoring.

  3. Optional: You can manually start and stop a livestream or recording if needed (this can be helpful for testing the system).

Check audio source is set to correct preset

  1. Log into the Livestream computer (Dell) in ETC 222 using the login credentials

  2. Open a Chrome browser and select the NCSSMvideo user account (this has passwords saved in it)

  3. Open the Symetrix Console. This is normally already open in one of the Chrome browser tabs, but if not, open a new tab and type in: 172.31.250.110. (Use these Login credentials).

  4. Ensure the correct audio source is selected. The Seneca Scribe receives audio based on the last preset that was chosen on this computer. (The computer can be off during the livestream). You will need to use the “Auditorium Livestream” or “Lecture Hall Zoom” (Lecture Hall Livestream currently does not work) preset based on whichever location you are streaming from.

Setup a camera shot

On the Dell computer, you should see a preview of the camera. If not (add instructions here)

Select the camera

Press the number of the camera followed by CAM button on controller.

  • 1 - Auditorium Camera

  • 2 - Lecture Hall Camera

Select Camera Preset

Press the preset number followed by the CALL button on the controller.

Current Auditorium Presets:

  1. Wide shot

  2. Lectern

Instructions for logging in to Panopto

Create a scheduled recording

  1. Click the Create button.

  2. Choose Scheduled Recording.

Enter event details

  1. Give the event a descriptive name.

  2. Use the Folder” pull-down menu to choose the correct folder to place the video inside:

    1. Private School Events - this is viewable only by people with NCSSM credentials. This is best used for events that should not be viewable by the general public.

    2. Public School Events - this folder allows the general public to view the video if they have the URL.

Select the remote recorder and Recording template

  1. (Optional) Enter a description for the event.

  2. Choose Auditorium as the “Primary remote recorder” (You will not choose a secondary remote recorder).

  3. Choose the correct Recording Template using the pull-down menu.

    1. Camera and Lectern - this records both the camera and whatever is being displayed using the lectern. This is best for slide presentations.

    2. Camera Only - this records only the camera. This is best for events that do not utilize the projector or use it minimally, such as fests.

Enter schedule details

  1. Do not select a Secondary remote recorder

  2. Enter the event details. You may need to choose to Enter times manually if the correct times are not displayed in the pull-down menus. (You can also setup recurring events here).

  3. Be sure to check the box next to Webcast Session. This is what makes the event a livestream.

Set Video Quality

  1. You normally will not need to adjust the video quality sliders. However, if you know a presentation does not contain any video and only contains slides with images and text, you may select Secondary Video Quality optimized for Resolution instead of Motion.

Optimized for Motion sets the lectern video to 1280x1024 resolution at 30 fps. Optimized for Resolution sets the lectern video to 1920x1080, but at the lower frame-rate of 15 fps, so it is best only for slide presentations that do not feature much motion.

2. Click the Create Button.

  1. Add a preview image (thumbnail) for the event.

  2. Copy the Viewer link. This is the link you will share with viewers.

  3. (Optional) Choose whether you want to allow viewers to post comments

Advanced Sharing Methods (Optional)

You can change the sharing permissions on a video by video basis if needed.

  1. Go to the video or livestream settings

  2. Choose Share

  3. Click the Change link

Under the share settings, you can choose who has access to the video.

  • Restricted - only the people you expressly share the video with will have access.

  • Your Organization (unlisted) - only people who have an NCSSM canvas account and have the URL can view the video. The video is not found using search in Panopto.

  • Your Organization - Only people with an NCSSM Canvas account can view the video. They can search for the video in Panopto and find it.

  • Public (unlisted) - Anyone can view the video, but must have the URL. Video is not searchable in Panopto.

  • Public - Anyone can view the video. Anyone can search and find the video on NCSSM’s Panopto account.

If you choose to upload your video to the “Public School Events” folder, the folder permissions are set to Public (unlisted). The “Private School Events” folder permissions are set to “Your organization (unlisted). This means any video uploaded to those folders inherit these permissions unless changed.

Embedding a Video Elsewhere

Under the share settings on the video, choose the Embed link.

Edit the embed settings and then copy the embed code to use elsewhere.
