Reservation Requests for Room on Campus

Submit at least 48 hours in advance.

To request a room booking of any spaces at NCSSM-Morganton for NCSSM related events or needs, please utilize the https://ncssm.atlassian.net/servicedesk/customer/portal/18/group/50/create/185 form.

Following the submission of the https://ncssm.atlassian.net/servicedesk/customer/portal/18/group/50/create/185 form, the Special Events Coordinator will complete the following steps:

  • Send an acknowledgement room request

  • Ask any additional follow-up questions

  • Reserved the requested space under the requestor’s name on google calendar

  • Send a calendar invitation to the room requestor with confirmed event details

Special Event Planning on Campus

Submit at least two weeks in advance. Four weeks in advance required for large-scale events (50+ attendees).

To request support or rooms reservations for a special event at NCSSM-Morganton, start by submitting a https://ncssm.atlassian.net/servicedesk/customer/portal/18/group/50/create/184.

Once the https://ncssm.atlassian.net/servicedesk/customer/portal/18/group/50/create/184 is completed and a request is generated, the Special Events Coordinator will complete the following steps:

  • Send an acknowledgement of the received request

  • Place a tentative hold on the calendar for requested spaces

  • Coordinate a planning meeting with the event host. This step is required and essential to the special event planning process to moving forward in a timely manner. During the planning meeting, the following topics will be covered:

    • Potential headcount

    • Venue details and needs

    • Potential support from campus departments: ITS, facilities, safety, catering, etc.

  • Following the planning meeting, the Special Events Coordinator will complete the following logistics prior to event day. Please note: these logistics are strategically coordinated through a streamlined process that is coordinated by Special Events personnel. Please direct all questions and updates for events to Special Events Coordinator rather than individual campus departments.

    • Request necessary leadership approval

    • Work with campus departments (security, facilities, ITS, catering, etc.) for all requested needs

    • Coordinate and plan assistance for event if necessary

Catering Requests

Submit at least two weeks in advance - four weeks preferred.
