ITS is pleased to announce the availability of the Google Gemini chatbot to all employees, effective today. This industry-leading generative AI tool is available from the Google apps menu or by visiting https://gemini.google.com/.

Please note this application is not being deployed to students or families at this time. It is also only the Google Gemini chatbot interface, not the more advanced paid enterprise version of Gemini for Google Workspace that also integrates with Gmail and Google Docs, Sheets, and Slides.

Google Gemini, like other leading generative AI chatbots such as OpenAI’s ChatGPT or Anthropic’s Claude, excel at a number of tasks that can aid in a variety of tasks, such as:

  • Proofreading your writing

  • Assisting in code development

  • Making creative suggestions to solving problems

Please note that you should never use any NCSSM data in conjunction with Gemini or any other generative AI tool (ChatGPT, Claude, etc.) This includes anything that is not public knowledge and that would not be stated publicly to the entire world. If you would not post it online for anyone to see, please do not put it into any AI tool. This data includes but is not limited to:

  • Proofreading internal emails or documents

  • Student Information including grades and assignments

  • Financial Information

  • Employee information including performance reviews or any PII

  • Anything that has not been released to the public

Please also be aware that Google Gemini, like other chatbots, can occasionally “hallucinate”, or provide factually incorrect information in response to prompts. It is your responsibility to ensure all information produced by tools such as Google Gemini is correct, so please double-check information provided by Gemini for factual accuracy.

For more information, we recommend reviewing Google’s Gemini FAQ, and this article of tips for writing prompts for Google Gemini. Please keep your eyes open for training sessions this fall on using generative AI tools, like Google Gemini, into your workflow. Should you have any issues with accessing this new tool, please contact ITS by ticket at ithelp.ncssm.edu or by email at ithelp@ncssm.edu.
